Do you publish an email newsletter to promote your business or web site? If so, do you convert each issue to HTML and archive them on your website. If not, you may be missing out on a great marketing opportunity.

Even if your mailing service already archives your email newsletters, you are doing yourself and your business a great disservice by not archiving them on your website. True, the mailing service archives will create many back links to your site and make it easier for search engines to find you, but to put them on your site is well worth the effort as well. What's more, you can do it easily and quickly.

There are three compelling reasons why you should take the time to archive your newsletters on to your website:

  1. It conveys the message to your subscribers as well as potential subscribers that your newsletter is a very important part of your service to them. In fact, it is such an important part of your business that you keep them for back references that new subscribers can enjoy.

  2. Your newsletter will contain many keywords. Those keywords will point toward subjects that people search for often. If you submit your archived newsletters to the search engines, they will draw traffic to your website. You can organize them by creating an index page and putting them in their own directory. You could even put them on their own domain and submit that to the search engines and directories. This way you can put them to work driving traffic.

  3. Advertisers love that their ads will be seen over and over. Studies show that web site visitors search and read archived newsletters on a fairly regular basis. This means that your advertisers' ads will be seen again and again. This will make advertisers more inclined to place ads in your newsletter.

It is really very easy to archive your past newsletters on to your site.

Conversion of your newsletter to HTML is a relatively short process. In fact, the majority of the time that it takes you to convert it will be spent coding all of the URLs to make them clickable. The rest is a piece of cake.

There are many text editing software programs that will convert text to HTML quickly and easily. Some HTML editing software programs will do this as well. A great, free HTML editor is PageBreeze and a very good free text editor is NoteTab Light. Both are very good resources and work with both text an HTML. If you deal with HTML files that you must edit or you want to convert text to HTML, then these are the programs for you. For this illustration, we will use NoteTab Light. You can check it out and install it at www.notetab.com.

  1. Once you have installed your NoteTab Light, open your newsletter in it.

  2. There is a toolbar that runs across the top, click on "Modify."

  3. From the drop down menu, select "Document to HTML." From that pop out menu, select "With Paragraph Tags."

  4. When you have finished, save the document with an htm or html extension. If you want the page width to fit to any reader's web browser, click on search a remove all of the BREAK tags. Before uploading your file, add a title, Meta tag description, and keywords.

With this simple move, you can create a great resource for your visitors. This site will serve as a draw for potential customers through the search engines. Tips for Writing Newsletters Journals eZines

 

Writing an eZine, writing a newsletter, and writing a journal are a similar process. The first thing to do is to identify what your audience wants to read about and then give it to them. Think about the topic. You might want to break it down into a few topics or just stick to one point. It is a good idea to include people in your journal, eZine, or newsletter to form a strong connection with the reader, since they will want to know who you are and about others in your business or organization. Always give your name or use a signature line. Email spam filters give negative points to emails without a signature line.

If you are writing on behalf of a business, it is also a good idea to include company statistics. Another tip is to have a FAQ section, identifying five or so of the most common questions you get about your organization and providing both the questions and the answers.

If you do not have a lot to say, do not waffle on just to make up a word count. If you only have brief news, send a brief newsletter or eZine. If you put a lot of unnecessary information or repeat yourself, your readers will soon lose interest.

When writing an eZine or journal, there are many different things you can do. You might want to write a product review or include testimonials. When your eZine has a large enough circulation, you can sell advertising space in it or swap advertisements with another company. Remember that you are speaking to one person at a time, rather than to a large group, so make sure your voice reflects that. Keep your tone friendly yet professional. You might want to use vivid descriptions, humor, and anecdotes to liven your eZine up. Include recent photos in your eZine or journal and tie in something recent and relevant.
